GPS clock-in, explained honestly

How accurate it actually is, where it works and where it does not, what happens when positioning fails, and exactly what ClocDot records about employee location — including what it deliberately does not.

What is GPS clock-in?

GPS clock-in replaces the physical time clock with the phone your employee already carries. When they press clock in, the device reads its coordinates once and sends them with the punch. The system compares that position against your registered office locations and labels the punch Office, Remote or field work automatically.

The practical consequence is that nobody has to be anywhere in particular for attendance to be recorded, and nobody has to self-report where they were. For a company running several sites, or staff who go straight from home to a client, that difference is the entire point.

5–10m

Open outdoors

Parks, car parks, open intersections. Strongest satellite signal, smallest error.

10–20m

Typical urban

Office buildings, streets, commercial districts. This is the realistic accuracy for most punches.

30–50m

Indoors / dense high-rise

Basements and tightly packed buildings. WiFi signals are used to supplement positioning here.

ClocDot's default clock-in radius is 100 metres — deliberately much wider than normal GPS drift, so an employee standing in the lobby never fails to clock in because the signal wobbled. The radius is adjustable per site if you need something tighter or looser.

The other thing worth being upfront about: positioning sometimes just fails — a basement, a factory floor, a denied permission. ClocDot flags those punches instead of blocking them. The record still gets created with a note that location was unconfirmed, and a human decides what it means. Locking someone out of clocking in because of poor reception creates a worse problem than it solves.

Privacy

What we do and do not record

Plenty of employees hear "GPS" and assume they are about to be followed around all day. That concern is reasonable, and it is worth answering directly rather than burying it — a rollout goes much better when staff know the boundaries up front.

  • ✓ One reading, at the moment of the punch. Coordinates are captured in the second the employee presses the button. Nothing runs in the background. If they have not punched, the system does not know where they are.
  • ✗ No route history. There is no map replay, no trail between punches, no idea what happened in between.
  • ✓ Employees see their own records. Whatever is stored about someone's punches is visible to that person, not only to management.
  • ✓ Failures are flagged, not punished. A punch with unconfirmed location is still a valid punch that a manager reviews.

If continuous location is genuinely unacceptable to your team, the alternative worth considering is WiFi or IP verification for office days — it confirms someone is on the company network without recording any coordinates at all. Many hybrid teams end up combining the two: network verification on office days, GPS on remote days.

How accurate is GPS clock-in?

Roughly 5–10 metres in open outdoor areas, 10–20 metres in a typical urban setting (which covers most punches), and 30–50 metres indoors or among dense high-rises, where WiFi helps supplement positioning. ClocDot's default radius is 100 metres, comfortably wider than normal drift.

Does ClocDot track employees throughout the day?

No. Location is captured once, at the moment the button is pressed. There is no background tracking and no route history. If an employee has not punched, the system does not know where they are.

What happens if GPS fails or permission is denied?

The punch is flagged rather than blocked. The record is still created, with a note that location could not be confirmed, and a manager decides what it means. Blocking someone because a basement has poor signal creates a worse problem than it solves.

Can we register more than one office location?

Yes. Multiple sites are supported and addresses are geocoded automatically, so each punch is matched against whichever site is nearest. The radius is adjustable per site if 100 metres is too tight or too loose.

Does GPS clock-in stop buddy punching?

It raises the bar without being absolute. Coordinates and timestamps can be cross-checked, which makes casually punching for a colleague far more visible than it is with a shared card. Where physical presence really matters, pairing GPS with WiFi or IP verification is the stronger setup.
